Fulfillment Pricing in Poland: How Our Quote Is Built

We do not publish a rate card, and this page explains why. Fulfillment pricing in Poland is a sum of separate lines: receiving, storage, pick and pack, materials, extra services, returns, carrier costs at cost and a monthly account fee. Here is what each line covers, what moves it, and the five things we ask before we put a number in writing.

Why we do not publish fulfillment prices, and what you get instead

„Price per order” means nothing until we know what the order contains: a lipstick and a sack of animal feed are both one order, and they are not the same job. So we show you the structure of the bill and quote against your data.

  • A rate card hides what moves the number
    the same per-order fee is a bargain for one range and a loss for another. You need to know which of your parameters push the price, and which way.
  • Cheap headline rates come back as surcharges
    a low pick fee next to a long list of extras is still a full price. Our quote is line by line, with no fees that appear later.
  • Carriers are not where we earn
    we earn on warehouse work and space. Carrier costs are re-invoiced exactly as the carrier bills us, so nothing of ours hides inside a shipping rate.

The structure

Fulfillment costs in Poland: the lines a monthly invoice is made of

Every 3PL in Europe bills roughly these lines under different names. We bill monthly for work actually done, each line shown separately, so you can compare operators on the same basis. Integration and onboarding are not charged.

Receiving and put-away

Unloading, checking against your packing list, putting stock away. Uniform pallets are quick; mixed cartons or loose goods need sorting and counting.

Storage

Monthly, for the space you actually occupy: pallet places for reserve stock, pick locations for ranges with many small SKUs. Slow stock holds space longer.

Pick and pack

A fee per order plus a smaller fee for each additional item in the parcel. Every extra line is a separate pick, so units per order matters.

Packaging materials

Cartons, filling and tape at the format actually used, as their own line. Supply your own branded packaging and you pay only for the packing work.

Value-added services

Kitting and set assembly, inserts, labelling and EAN codes, shrink-wrapping, personalised packing. Optional, priced per unit of work, billed only when ordered.

Returns handling

Receiving the parcel, checking the item, back to sellable stock or set aside for your decision. Priced per return, so a high return rate shows here.

Carrier costs, at cost

Shipping re-invoiced exactly as the carrier bills us, no margin. Our contract rates come with the quote as an attachment, not as a sales argument.

Monthly account fee

Account management, your slot in our warehouse management system, reporting. A fixed monthly line, shown openly. Some accounts carry a minimum monthly fee, stated in the quote.

The factors

How much does fulfillment cost in Poland? It depends on six things

Two brands with the same monthly order count can receive very different quotes. These parameters move the lines above, and they are why we ask about your goods before we talk numbers.

What pushes each line up or down

Factor 1
Order volume and peaks

Higher steady volume lowers the unit price: fixed lines spread across more parcels and picking runs in batches. Peaks matter as much as the average.

Factor 2
Number of SKUs

Each SKU needs its own pick location, so a wide range with slow lines costs more to store and pick than a narrow one with the same sales.

Factor 3
Size and weight of one unit

Not the parcel, the item. One person, two people or a forklift are three different jobs. Oversized furniture and LTL freight are outside our standard scope.

Factor 4
How stock arrives

Uniform pallets with a delivery notice are received fastest. Mixed cartons need sorting per SKU; loose goods need counting and palletising.

Factor 5
How much stock sits with us

Weeks of cover, not just sales rate, decide the storage line. Reserve pallets and a live pick face per SKU are billed for what they occupy.

Factor 6
Returns, extras, special requirements

Return rate, value-added services, expiry dates, batch or lot tracking, serial numbers and storage conditions each add work per unit. Say so up front and they are priced, not discovered.

What does not move the price: the destination market. Shipping to Germany, France or Spain changes only the carrier line, which passes through at cost. Before we quote

The five things we ask before we put a price in writing

A quote based on two numbers is a guess. These five answers decide whether we can handle your goods at all, and how each invoice line will look. Without them, our first reply is questions, not prices.

What the goods are

Category and regulatory status. Decides whether we can take them, and how they are stored and packed.

Weight and size of one unit

A single item, not a parcel. Sets the packing method, the carton and whether one person handles it.

How much stock we hold

Pallets, or units per SKU. Tells us whether your stock lives on racking or on the floor, and how much.

How deliveries arrive

Uniform pallets, mixed cartons or loose goods. Receiving labour differs several times over between these.

Number of SKUs

Sets the number of pick locations and the complexity of every order. Sets and bundles count separately.

Plus two numbers only you know: average monthly orders with peak months, and units per order. And any special requirements: expiry dates, lots, serial numbers, storage temperature. Send those and the quote follows within 24 h.

Compare properly

3PL pricing vs your own warehouse: compare the whole cost, not the pick fee

Brands comparing 3PL pricing in Europe usually line up per-order rates. That misses most of the picture. Fulfilment turns a fixed cost base into variable lines that follow your sales.

  • Fixed becomes variable. Rent, racking, equipment and warehouse software are yours all year. With us they sit inside lines that scale with volume.
  • Seasonality stops being your staffing problem. A peak quarter means hiring, training and letting go. Here it means a higher invoice for those months and a lower one afterwards.
  • Materials and carriers at scale. Packaging bought in volume and carrier contracts negotiated across many clients, passed to you at cost, usually beat what one brand buys alone.
  • Management time counts. Recruiting, rotas, sick cover, damaged stock, courier claims: none of it is on your warehouse spreadsheet, and all of it leaves your desk.

Why do you not publish fulfillment prices for Poland?

Because a per-order price is meaningless until we know what the order contains. Item weight and size, SKU count, how stock arrives and how much of it sits with us change the cost several times over, so a public table would be wrong for most readers. We explain the structure here and quote against your data within 24 h.

What information do you need to prepare a fulfillment quote?

Five things: what the goods are, the weight and size of one unit, how much stock you hold, how deliveries arrive (uniform pallets, mixed cartons or loose) and the number of SKUs. Plus average monthly orders with peaks, units per order and any special requirements such as expiry dates or serial numbers. Then a written quote follows within 24 h.

How is storage charged: per pallet, per pick location or by volume?

You pay monthly for the space you actually occupy. Reserve stock is billed by pallet place; ranges with many small SKUs use pick locations. Rotation matters, since slow stock holds space for longer. The right model depends on your range, so it is chosen in the quote rather than imposed by a rate card.

Is there a minimum monthly fee?

We bill monthly for work actually done. Some accounts carry a minimum monthly fee that protects the cost of running the account; it is stated openly in the quote, never discovered later. New and growing shops can start on a flexible pay-as-you-go basis. Which applies depends on your scale, and we set it out before you sign.

Do you charge for onboarding and store integration?

No. Connecting your store or marketplace through our integration hub, configuring your account and receiving your first delivery are part of starting with us, not a separate charge. Many operators invoice a set-up fee for this; we do not, and it changes the comparison of first-year cost.

Will our unit price fall as we grow, and do we have to renegotiate?

It falls without renegotiation. Our quotes set volume tiers in the contract itself, with the thresholds and the rate at each level written down from day one. When your monthly orders cross a threshold, the lower rate applies automatically. Growth lowers your cost without a new round of talks.

Who insures the stock, and what is not included in your price?

Goods in our warehouse are insured by the brand that owns them, under your own policy; we hold liability insurance for damage caused by our staff. Not in our price: carrier charges (re-invoiced at cost), import duties and VAT on non-EU goods, and your VAT or OSS position for EU sales, which you settle with your tax advisor.

How should we compare your quote with other 3PL offers in Europe?

On an identical specification: the same monthly orders, SKU count, units per order and item dimensions, with every line visible. Check whether carrier costs carry a margin, whether onboarding is charged, what happens at peak and how storage is measured. Figures from different rate cards are only comparable when the input is the same.
